Privacy

Introduction

Deltadots AI Tech Pvt Ltd (“Delta Dot AI”, “we”, “us”, “our”) is committed to respecting your privacy and choices. This Privacy Notice describes our practices regarding personal information collected through websites and subdomains that link to this Notice, including deltadotai.com and related pages (collectively, the “Sites”), as well as forms, events, demos, and certain professional outreach conducted by or on behalf of Delta Dot AI.

This Notice explains what personal data we collect, how we use it, with whom we share it, how long we keep it, how we protect it, and what rights you may have depending on where you live. We also provide region‑specific addenda for jurisdictions with enhanced privacy requirements.

This structure mirrors widely used enterprise privacy statements (for example, Infosys’ Privacy Statement) that describe categories of data collected, purposes of processing, sharing, rights, and region‑specific terms. We have adapted that structure to Delta Dot AI’s operations and Sites.

Scope and Applicability

This Notice applies to:

  • Visitors to our Sites and public pages.
  • Prospects who engage with our content, contact forms, downloads, or events.
  • Business contacts (including client representatives, vendors, and partners) whose data we process in the course of business.
  • Candidates applying for roles through links or forms on our Sites.

This Notice does not govern data processing performed under a client contract (e.g., managed services, custom projects). Where a master service agreement (MSA), data processing addendum (DPA), or other contract applies, that instrument controls. Similarly, if we provide additional privacy disclosures for a particular product or jurisdiction, those specific terms prevail over this Notice in case of conflict—an approach standard in enterprise privacy statements.

Definitions

  • “Personal Data” means any information relating to an identified or identifiable individual. Terms may vary by jurisdiction (e.g., “personal information,” “personally identifiable information”).
  • “Processing” means any operation or set of operations performed on Personal Data (e.g., collection, recording, storage, retrieval, use, disclosure, erasure).
  • “Controller” / “Processor” roles may differ per engagement. For Sites, Delta Dot AI is typically the Controller. For contracted services, roles are defined in the relevant agreement and DPA.

Categories of Personal Data We Collect

Depending on your interactions with us, we may collect:

  1. Visit and Usage Data (automatically collected):
    • IP address, device identifiers, operating system, browser type/version, language, time zone, approximate location (based on IP), pages viewed, referring/exit URLs, clickstream, session duration, and interaction telemetry.
    • Collected via server logs and cookies/similar technologies to support security, performance, and analytics. This category is commonly listed in enterprise privacy statements.
  2. Contact and Professional Details (provided by you):
    • Name, job title/role, employer/organization, business email, business phone, city/country, industry, LinkedIn profile/URL (where submitted), and other information you choose to provide in forms, downloads, chat assistants, or event registrations—consistent with enterprise practice.
  3. Communications and Preferences:
    • Records of communications with us (emails, form submissions, meeting notes), marketing preferences (opt-in/out), and content interests inferred from interactions (e.g., pages visited or assets downloaded).
    • Events and Webinars:
    • Registration details, attendance logs, feedback forms, and badge scans managed by Delta Dot AI or event partners.
  4. Careers:

Candidate CV/resume, cover letter, application details, interview records, background screening status (where permitted and applicable). Additional candidate-specific notices may apply.

Sensitive Personal Data: We do not seek to collect sensitive categories (e.g., health, biometrics, financial account numbers) through the Sites. Please do not submit such data via public forms or AI demos. If sensitive data is ever processed for a legitimate purpose (e.g., HR, compliance), we will apply enhanced safeguards and provide any necessary supplemental notices. Regulators emphasize strong controls for data used in AI contexts; we align with these commitments.

Sources of Personal Data

  • Directly from you via forms, downloads, emails, event registrations, or career applications.
  • Automatically through your use of the Sites, including cookies and telemetry.
  • From business partners or public sources (e.g., professional networks) where permitted by law and consistent with fair processing.

Cookies and Similar Technologies

We use cookies, web beacons, and similar technologies to:

  • Enable Site functionality (strictly necessary).
  • Remember preferences and enhance user experience (functional).
  • Measure performance and usage analytics (performance).
  • Support limited targeting for brand campaigns (where permitted and subject to opt‑out/opt‑in requirements).

Cookie categories and descriptions follow commonly used enterprise taxonomies; details can be found in our Cookie Policy, including configuration options and opt‑out links. Infosys’ cookie policy provides a representative categorization approach we have mirrored for clarity.

You can manage cookies via our cookie banner or through browser settings. Disabling certain cookies may affect Site functionality.

Purposes of Processing

We process Personal Data for:

  1. Site Operations and Security
    • Operating, securing, diagnosing, and improving our Sites; preventing fraud and abuse.
  2. Communications
    • Responding to inquiries, providing requested information, scheduling meetings, managing relationships.
  3. Marketing & Analytics
    • Personalizing content, measuring engagement, conducting campaigns, and providing event invitations—consistent with preferences and lawful bases.
  4. Events & Webinars
    • Registering attendees, managing logistics, sending reminders/updates, and collecting feedback.
  5. Careers
    • Evaluating candidates, scheduling interviews, and complying with legal obligations.
  6. Legal & Compliance
    • Complying with laws, regulations, lawful requests, and contractual obligations; defending rights and preventing misuse.
  7. Service Improvement & Research
  • Improving user experiences, content relevance, and our internal operations. Where research involves aggregated or de‑identified data, we maintain procedures to limit re‑identification risks.

Legal Bases (Where Applicable)

Depending on your jurisdiction, we rely on one or more of the following legal bases:

  • Consent (e.g., marketing emails, non‑essential cookies).
  • Contractual necessity (e.g., responding to specific requests you initiate).
  • Legitimate interests (e.g., Site security, analytics, B2B relationship management), balanced against risks and with opt‑out options where required.
  • Legal obligations (e.g., compliance, record retention).

This framing is consistent with enterprise privacy statements that present lawful bases aligned to processing purposes.

Data Sharing and Recipients

We may share Personal Data with:

  • Affiliates and subsidiaries supporting operations and business functions.
  • Service providers (e.g., hosting, analytics, email delivery, event platforms) under agreements that limit use of Personal Data and require appropriate safeguards—reflecting common DPA clauses.
  • Business partners for co‑hosted events, joint content, or co‑marketing—subject to your consent where required.
  • Authorities, regulators, and courts when legally compelled or necessary to protect rights, safety, or property.
  • Corporate transactions (e.g., merger, acquisition, restructuring), subject to confidentiality and compliance requirements.

We do not sell Personal Data. When we use third‑party analytics or cloud services, we perform vendor privacy due diligence and implement contractual controls—that approach appears in enterprise data processing clauses.

International Transfers

We operate globally. Personal Data may be transferred to, stored in, or processed in countries other than your own. Where required, we implement appropriate transfer safeguards (e.g., Standard Contractual Clauses (SCCs) for EU/EEA transfers) and risk assessments consistent with applicable law and vendor DPAs.

Data Security

We employ technical and organizational measures to protect Personal Data, including:

  • Access controls and identity management.
  • Encryption in transit and at rest where appropriate.
  • Network and application security monitoring.
  • Secure development practices and vulnerability management.
  • Incident response processes and logging.

While we take reasonable steps to protect data, no method of transmission or storage is 100% secure; we encourage prudent behavior online and request you avoid submitting confidential information via public forms or AI demos. This caution aligns with regulatory commentary on AI companies’ privacy commitments and internal controls.

Data Retention

We retain Personal Data for as long as necessary to fulfill the purposes described in this Notice, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods depend on data type, processing context, and legal requirements. We periodically review and de‑identify or delete data that is no longer needed. This retention approach mirrors typical enterprise statements.

Your Rights

Depending on your jurisdiction, you may have rights to:

  • Access: Obtain confirmation and a copy of Personal Data we hold about you.
  • Rectification: Correct inaccurate or incomplete Personal Data.
  • Deletion: Request deletion of Personal Data (subject to legal or legitimate retention).
  • Restriction: Limit processing under certain circumstances.
  • Objection: Object to processing, particularly for marketing or where legitimate interests apply.
  • Portability: Receive Personal Data in a structured, commonly used format and transmit it to another controller.
  • Withdraw Consent: Where processing is based on consent, you may withdraw it at any time (without affecting prior processing).

We will respond to valid requests within the timeframes mandated by applicable law. Infosys’ statement illustrates globally applied rights with region‑specific addenda; we adopt a similar structure and process.

Exercising Your Rights; Verification

To exercise rights, contact us via details in Section 22. We may need to verify your identity and the scope of the request. In some cases, we may deny requests where permitted by law (e.g., where disclosure would infringe others’ rights or an ongoing legal obligation).

Marketing Preferences

You can opt out of marketing communications at any time by using the unsubscribe link in our emails or by contacting us. Please note that we may still send transactional or administrative messages related to your interactions (e.g., responses to your requests).

Children’s Privacy

Our Sites are intended for business audiences and are not directed to children. We do not knowingly collect Personal Data of children. If you believe a child has provided Personal Data through our Sites, please contact us so we can delete it promptly, consistent with applicable law.

AI Features and Responsible Use

If we offer AI demos or assistants on our Sites:

  • Please do not input sensitive or confidential data, including proprietary information, PII of third parties, health or financial data, or regulated records.
  • Understand that AI outputs may be generated content and can contain inaccuracies. Validate before relying on them.
  • We implement guardrails (policy enforcement, isolation, monitoring) and honor privacy commitments. Regulators indicate companies that fail to honor such commitments may face enforcement, including deletion of models trained on improperly obtained data. We align with these principles.

Social Media and External Links

Our Sites may include social media widgets or links to third‑party websites. These third parties may collect data about your interactions through their own cookies or tracking technologies. We are not responsible for the privacy practices of third‑party sites; please review their privacy notices. This disclaimer reflects standard enterprise privacy statements.

Do Not Track; Preference Signals

Some browsers offer Do Not Track (DNT) or global privacy control (GPC) signals. Our Sites’ response may vary depending on the tools and jurisdictions involved. Where required by law, we will honor recognized signals or provide equivalent opt‑out mechanisms.

Changes to This Notice

We may update this Notice periodically. The “Last Updated” date at the top indicates when changes were made. Material changes will be communicated through the Sites and, where appropriate, via email or banners. Your continued use following changes signifies acceptance. This update mechanism is standard in enterprise privacy statements.

Complaints and Escalations

If you have concerns about our privacy practices, please contact us first so we can attempt to resolve them. Depending on your location, you may also have the right to lodge a complaint with a data protection authority or consumer protection regulator. For example, India’s evolving digital privacy framework and global regulators encourage user complaint pathways, and enterprise notices typically reference these.
